Job Summary

Provide administrative or secretarial support to a department and/or Manager. Typical duties include general clerical, receptionist and project-based work. Responsibilities may be unique to a specific function or department but are mainly administrative in nature. Under general supervision, works within a specialized function to complete tasks in accordance with procedure. Supports general business operations by providing simply administrative support activities. Requires ability to perform basic numerical, statistical, and/or financial analysis. Applies common sense understanding to execute written or oral instructions. Ensures office equipment and supplies are maintained. Ensure invoices are coded and routed for approval/payment. May track expenses associated with the department or office. May handle confidential information. Acquires basic skills to perform routine tasks. Develop skills to perform basic activities in own job. Understands how the assigned duties integrate with others in the team.

Roles and Responsibilities

  • Make sure EVERYONE is coming in through front reception area
  • Keep track of who is coming in.
  • Answer incoming calls and check voicemails each day. Direct appropriately.
  • Retrieve and distribute mail each day.
  • Receive any incoming deliveries. Direct/distribute appropriately.
  • Let any visitors/vendors in the gate and in the building:
    • Verify what they are here for and if they have a POC.
    • Verify visitors are U.S citizens
    • Have them sign in using sign in sheet.
    • Hold state I.D collateral in exchange for KBR visitor badge.
    • Make sure badges are collected from visitors when they leave the building.
    • Make more copies of visitor sign in sheets, as needed.
  • Restock snacks and drinks monthly when received.
  • Restock/distribute office items monthly when received.
  • Keep the break area/kitchen, front area reception area tidy:
    • Restock coffee items (k-cups, sugar, creamers, cups, etc.)
    • Refill Keurig water
    • Wipe down counters
    • Clean sinks
    • Run / empty dishwasher daily
    • Microwaves cleaned (as needed)
  • Direct/relay facilities or office supply requests.
  • Schedule/de-conflict front conference room usage requests.
  • Other duties as assigned.

Basic Qualifications

  • High School Diploma and 0-2 years of experience.
  • Effective in-person, phone and written communication skills are required.
  • Familiar with MS Office (Word, Excel, PowerPoint, Outlook)
  • Familiar with Microsoft Teams

Preferred Qualifications

  • Experience performing data entry
  • Experience scanning invoices
  • DoD Security requirements/training familiarity
